Greetings for UK business phone systems
Almost every business phone system lets you upload a file for the welcome, the menu and the queue. The only real question is the format. You get an MP3 from us, and our free converter makes the WAV your system asks for.
What the official guides ask for
| System | File the official guide asks for |
|---|---|
| Gamma Horizon | .wav, CCITT u-Law, 8 kHz, 8-bit mono; MP3 not recognised |
| BT Cloud Voice | u-Law WAV, 8 kHz, mono, 5 MB or less |
| 8x8 Admin Console | .au, .wav or .mp3, up to 5 MB |
| Vonage Business | .wav or .mp3; uLaw, mono, 8000 Hz, 8-bit |
If your system names a format, use exactly that one. If the upload is refused, convert the file again into the next format on the list. The audio converter page is in English and needs no account.
From greeting to live line
Create the set
Welcome, menu, queue and out-of-hours message with the same voice and music, so the line sounds like one company.
Check the format
In the admin guide of your system or with your installer.
Upload each file
Usually under auto attendant, call queue or music on hold, depending on the supplier.
Test every route
Call in from a mobile, press each key, and stay in the queue until the message loops.
Avoiding surprises
The first syllable
Some systems clip the very start of a file. After the upload, listen for the first word of the greeting.
Matching levels
All files on one line should be equally loud, so nobody has to turn the handset down between menu and queue.
Time schedules
Hosted systems switch between business-hours and after-hours files on a timetable. Set the bank holidays in it too.
Questions
Can my IT provider upload the files?
Yes. Send them the downloaded files and say which one belongs to which situation: welcome, menu, queue, out of hours.
What does a greeting cost?
€19 excl. VAT per greeting, no subscription. Previews are free.
My system is not listed. Does it still work?
Almost certainly. If it accepts an uploaded audio file, it accepts one of the formats our converter produces. Our audio format guide covers more systems in US English.
