Step-by-step upload guide

  1. Generate your greeting at phonegreetings.ai and download the file (choose the Microsoft Teams export preset).
  2. Sign in to the Teams admin center at admin.teams.microsoft.com.
  3. For an auto attendant: navigate to Voice → Auto attendants → [auto attendant name]. For a call queue: Voice → Call queues → [queue name].
  4. Click Edit next to the greeting you want to update (Welcome, After hours, Holiday, etc.).
  5. Choose Audio file, then click Upload audio file and select your WAV.
  6. Click Save. Teams will play the new greeting on the next incoming call.
  7. Test by calling the number associated with the auto attendant or call queue.

Common errors and fixes

  • "Audio file format not supported"
    Teams Phone is strict about WAV format. Re-export from our generator with the "Microsoft Teams" preset, or convert manually to 16 kHz, 16-bit, mono PCM WAV.
  • Personal voicemail doesn't accept upload
    In the Teams app, Settings → Calls → Voicemail offers in-app recording only. For uploaded audio, your admin must enable a custom voicemail policy or assign the greeting at the auto-attendant level.
  • Greeting plays distorted
    Almost always a sample-rate mismatch. Confirm your file is 16 kHz mono. Files at 44.1 kHz often resample badly.
  • "Holiday greeting" doesn't play
    Holiday greetings on Teams require a Holiday schedule to be assigned to the auto attendant. Upload the audio first, then attach the schedule under the auto-attendant settings.
