Step-by-step upload guide
- Generate your greeting at phonegreetings.ai and download the MP3.
- Sign in to your RingCentral Admin Portal at
service.ringcentral.com. - For a user voicemail: navigate to Users → [user name] → Messages & Notifications → Voicemail Greeting. For an auto-receptionist: navigate to Phone System → Auto-Receptionist → IVR Menus → [menu name].
- Choose Custom as the greeting type.
- Click Upload and select the MP3 you downloaded from phonegreetings.ai.
- Click Save. RingCentral will play the new greeting on the next incoming call.
- Test by calling the line yourself — the greeting should play instantly.
Common errors and fixes
- "File format not supported"
RingCentral occasionally rejects MP3 files with non-standard headers. Re-export from our generator with the "RingCentral preset" option, or convert to WAV (8 kHz, 8-bit μ-law mono) using our free audio format guide.
- "File too large"
Maximum is 5 MB. Shorten the greeting (most voicemail greetings should be 15–25 seconds) or lower the bitrate to 64 kbps.
- Greeting plays at low volume
Re-export with normalization enabled — our generator does this by default. RingCentral does not amplify quiet recordings.
- Greeting cuts off at the end
Add a 1–2 second silence pad to the end of the script before exporting. Some RingCentral configurations trim the last fraction of a second.
