Step-by-step upload guide
- Generate your greeting at phonegreetings.ai and download the MP3.
- Sign in to the Zoom web portal at
zoom.uswith an admin account. - Navigate to Phone System Management → Auto Receptionists (or Users & Rooms → Users for personal voicemail).
- Click into the auto receptionist (or user) you want to update.
- Under Greeting & Leave Voicemail Instruction, click Add Audio.
- Choose Upload, select your MP3 from phonegreetings.ai, give it a name, then click Save.
- Set the new audio as the active greeting for the auto receptionist or user, and click Save.
- Test by calling the assigned number.
Common errors and fixes
- "Audio file is too long"
Zoom auto-receptionist greetings must be 60 seconds or less. Trim the script or split it across multiple prompts.
- "File size exceeds limit"
Maximum is 2 MB for auto-receptionist audio. Use 64 kbps mono MP3 — our generator does this by default.
- Greeting sounds tinny
Confirm sample rate is 16 kHz mono. 44.1 kHz files sometimes downsample badly inside Zoom.
- "After-hours" greeting plays during business hours
Zoom auto receptionists use Business Hours rules — confirm the rule is enabled and the time zone matches your office. Upload the audio first, then attach it to the right rule.
