Step-by-step upload guide
- Generate your greeting at phonegreetings.ai and download the WAV (Nextiva preset).
- Sign in to NextOS at
nextos.nextiva.com. - For an auto attendant: navigate to Voice → Auto Attendants → [auto attendant name] → Audio Files. For a call flow: Voice → Call Flows → [flow name] → Audio.
- Click Upload Audio and select your WAV.
- Give the file a recognizable name (e.g. "Main Greeting Q1 2026") and save.
- Assign the uploaded audio to the relevant prompt — Welcome, After Hours, Holiday, etc.
- Click Save on the auto attendant or call flow to apply the change.
- Test by calling the assigned number.
Common errors and fixes
- "File format not recognized"
NextOS rejects WAV files that aren't 8 kHz 8-bit mono μ-law. Re-export with the "Nextiva preset" in our generator, or convert manually using the format spec above.
- Greeting sounds robotic / muffled
Confirm the file is 8 kHz μ-law mono — not 16 kHz PCM. NextOS resamples PCM files less cleanly than μ-law.
- "Audio file too large"
Limit is 5 MB. Most voicemail greetings should be 15–25 seconds; trim if needed.
- Holiday greeting doesn't play
Holiday audio in NextOS requires a Holiday Schedule attached to the auto attendant. Upload the file first, then assign the schedule under the auto attendant's settings.

What format does Nextiva accept?
WAV (8 kHz, 8-bit mono μ-law) is the safe choice. MP3 is supported in newer NextOS versions but occasionally has compatibility issues. Our generator exports both.
Where in NextOS do I upload?
NextOS portal → Voice → Auto Attendants (or Call Flows) → [name] → Audio Files → Upload.
Can the same audio file be used in multiple call flows?
Yes — once uploaded to the account-level audio library, the file is available across every auto attendant, call flow and voicemail box.
