Phone systems and file formats
A business phone system usually takes a file. That keeps the full sound quality of your greeting. What changes from system to system is the format and where in the admin portal you upload it.
What Australian providers document
| System | How the greeting gets in | Format named by the provider |
|---|---|---|
| Optus Loop with RingCentral | Desktop or web app: Settings, Phone, Voicemail greeting, Custom, Importing | WAV or MP3 |
| Optus Loop (earlier portal, guide from 2021) | Upload for busy and no-answer greetings | WAV, CCITT µ-law, 8 kHz, 8 bit, mono |
| Telstra TIPT | Voice Portal by phone: separate busy and no-answer greetings | Recorded by phone, no file format named |
| Telstra MessageBank | Recorded by phone on 101 | No upload described |
If your system is not listed, the admin guide of your system names the format. Many cloud phone systems accept MP3 or WAV.
The formats you will meet
MP3
What you download from us. Most cloud phone systems take it as is.
WAV PCM, 8 or 16 kHz, mono
A common requirement of on-premise systems.
WAV µ-law or A-law, 8 kHz
Telephone codecs. Older and some hosted systems ask for one of them by name.
Our audio converter turns your MP3 into WAV PCM, µ-law or A-law at 8 kHz mono, with presets for common systems. The converter page is in English.

Questions
My system rejects the MP3. What now?
Check the format in your system’s admin guide, convert the file with the audio converter and upload it again. Still stuck? Email hello@phonegreetings.ai with the name of your system.
Can I use one file for several systems?
Yes. You keep the MP3 and convert it into whatever each system needs. Converting does not count as a new greeting.
