Out-of-hours voicemail greetings

Outside office hours the caller needs three things: confirmation that you are closed, when you open again and what to do now. Say the reopening time as a time, not as “tomorrow morning”.

Practice closed, urgent route first

Thank you for calling Castlegate Dental Practice. The practice is now closed. If you're in pain and need urgent dental care before we reopen, NHS one one one can help you find it. We're open again at half past eight on our next working day. To change or cancel an appointment, leave your name and date of birth after the tone.

Weekday evening

With opening hours

Our office hours at [Company] are Monday to Friday, 08:30 to 17:30, and we have now gone home for the evening. Leave your details after the tone and the first person in on the next working day will return your call.

Weekend

Saturday morning opening

The [Company] office is shut for the weekend and opens again on Monday at 08:00. Our showroom keeps Saturday hours, 09:00 to 12:30, if you would like to visit in person.

Lunch

Closed for lunch

Between 13:00 and 14:00 the team at [Company] takes a lunch break, so nobody can answer right now. Try us again after two o'clock, or record a short message and we will ring you before the end of the afternoon.

Emergency cover

Urgent calls forwarded

Outside office hours, urgent [service] faults at [Company] go straight to our on-call engineer: press one now to be connected. Routine questions can wait for the morning, so leave those as a message after the tone.

Early finish

Friday afternoon

On Fridays the [Company] office closes early, at 15:00. Your message will be the first thing we deal with on Monday morning, so do leave your name and number.

Order of information

01

Closed, in the first sentence

Callers hear the most important fact first. Put “we’re closed” before anything else.

02

A clock time

“From 08:30” is clearer than “first thing”. In the script you can write the time as figures; in the preview, check that the voice reads it naturally.

03

Emergency option last but one

If you offer an on-call number, give it before the instruction to leave a message, so urgent callers do not wait for the tone.

04

Switch it automatically

Most hosted systems have a time schedule. Set it once and the out-of-hours greeting plays at 17:30 without anyone pressing a button.

Questions

Should I say “tomorrow” in the greeting?

Better not. On a Friday evening, “tomorrow” is wrong. “On the next working day” or a named day works every night of the week.

Can callers still leave a message?

That depends on your phone system. Most let you play the greeting and then record a message; some only play an announcement. Check the setting in your system’s time schedule.

How do I write the times?

On paper and on your website, use the 24-hour clock: 08:30, 17:30. In the spoken greeting, “half past eight” and “half past five” sound friendlier, and the generator lets you write them that way.
