After-hours phone message

Outside business hours, your greeting does the front desk’s job. It says when you are open again, where to turn if it can’t wait, and how to leave a message.

After-hours scripts

Write your hours in 24-hour format here. In the generator, spell them out the way you want them spoken.

Physio clinic, online booking

You've reached Wattle Street Physiotherapy. The clinic is closed for the day. We're open weekdays from seven in the morning until seven at night, and on Saturday mornings. You can book online at any time, or leave your name and number after the tone, and we'll call you back tomorrow.

Office

Closed for the day

The [business name] office has closed for today. We're open Monday to Friday, [08:30] to [17:00]. Your name and number after the tone are all we need to ring you back next business day.

Weekend

Back on Monday

Weekend greetings from [business name]: the team is off until Monday at [08:00]. Leave a message and we'll get onto it first thing.

Emergency service

After-hours on-call number

Thanks for calling [business name]. Our office is closed. If you have an urgent [plumbing / electrical / lift] fault, please call our on-call team on [phone number]. If it can wait, leave a message and we'll pick it up tomorrow.

Lunch break

Back after lunch

Hi, you've reached [business name]. We're closed for lunch between [12:30] and [13:30]. Please call back after half past one, or leave a message now.

Time zones

Callers from other states

Thanks for calling [business name] in Perth. Our office hours are [08:30] to [17:00] Western Australian time. If you're calling from the east coast, that's two or three hours behind you. Please leave a message, and we'll call you back.

Order of information

01

First: who and why

Business name, then “we’re closed”. The caller knows within five seconds that nobody will pick up.

02

Second: urgent cases

If there is an on-call number, it comes before the opening hours. Someone with a burst pipe won’t wait for your trading hours.

03

Third: opening hours

One sentence. If your hours vary from day to day, say only the next opening time.

04

Last: the message

Ask for name and number, then let the tone follow quickly.

Time zones and daylight saving

If you serve customers across Australia, give your hours in your local time and name your state. During daylight saving, the gap between states changes, so “Perth time” or “Queensland time” is clearer than a number of hours.

Questions

Can my phone switch to the after-hours greeting by itself?

Most business phone systems can play a different greeting by time of day. On mobile voicemail this depends on the carrier: Optus describes time-of-day greetings on its voicemail service.

Should I mention Triple Zero?

For medical, aged care and similar services, yes: point callers to Triple Zero (000) in an emergency. Our medical centre page shows how.
