Phone menu greeting (IVR)

A phone menu sends callers to the right person without a receptionist in the middle. It works when the options are few, short and in the order people need them.

Phone menu scripts

Change the options to match the extensions or queues in your phone system.

Building a menu that works

01

Four options at most

People keep three or four choices in their head. More than that and they wait for the operator.

02

Option before number

Say “For accounts, press three”, not “Press three for accounts”. The caller hears the topic first and only then the key.

03

Most-used option first

Look at your call logs. If most calls are bookings, bookings get the number one.

04

A way out

Offer zero for a person or star to repeat. A caller stuck in a loop hangs up and rings someone else.

Questions

Can I upload one file per menu level?

Yes. Create a separate greeting for the main menu and for each sub-menu, then upload each file to its place in your phone system. Each downloaded file counts as one greeting.

Should I say “press hash” or “press the pound key”?

In Australia, “hash” is the word callers know. “Star” is clear for the asterisk key.

Which file format does my phone system need?

That depends on the system. Our phone systems page lists what common systems ask for, and the free audio converter creates the file.
