What matters for property management

01

Define a maintenance emergency

Flooding, no heat in winter, a lockout, no water. Name the cases that justify the on-call line, and send routine repairs to the resident portal.

02

Gas smell means leave and call

If residents smell gas, they should leave the building and call 911 or the gas utility. That sentence comes first in every after-hours version.

03

Leasing is sales

Prospective residents call about showings in the evening. Give leasing its own option and a fast callback, or you lose them to the next listing.

04

One greeting per building type

A senior community and a student complex sound different. Choose the voice and pace for the residents who call.

Built by phone-audio professionals

This generator comes out of more than 20 years in a recording studio. We built in what makes a greeting work on the phone: clear pronunciation, sensible pauses and music that never covers the voice. Questions? Andreas Brenner and Tim Stein will help you personally.

Questions

How do we stop non-emergencies on the on-call line?

List the emergencies by name in the greeting and send everything else to the portal. Callers follow clear examples better than general rules.

Should leasing and maintenance share one number?

They can, with separate menu options. Leasing callers are prospects; they need a fast callback.

Should the greeting give safety instructions?

Only short, standard ones: leave the building if you smell gas, call 911 in an emergency. Everything else belongs in your resident handbook.
