Voicemail Greetings for Nonprofits

Nonprofits get calls from three groups: people who need help, people who give, and people who volunteer. A short menu sends each to the right person, often with a small team.

What matters for nonprofits

01

Year-end giving and receipts

December and January bring calls about donations and donation receipts. A seasonal option for donors keeps them separate from program calls.

02

Program hours first

People looking for help need hours and locations. Put them in the first option, in plain words.

03

Volunteers want a clear next step

Tell volunteers what happens after they leave a message: an orientation date, a form, or a callback from the coordinator.

04

Danger means 911

If people in crisis may call your number, the greeting must say what to do in an emergency. Point to 911 for immediate danger.

This generator comes out of more than 20 years in a recording studio. We built in what makes a greeting work on the phone: clear pronunciation, sensible pauses and music that never covers the voice. Questions? Andreas Brenner and Tim Stein will help you personally.

Questions

Should we take donations by voicemail?

Never ask callers to leave card numbers on voicemail. Ask for a name and number, and take the donation on a callback or online.

How many menu options are right?

Three or four. Help, give, volunteer, and the office. More than that loses callers.

Does a small nonprofit need a professional greeting?

A clear, friendly greeting tells donors and clients that the organization is well run. It costs less than one hour of staff time.
