Phone greetings for charities

Callers to a charity range from donors and volunteers to people who need help today. A good greeting routes the first two efficiently and makes sure the third hears where to get support straight away, even when your office is closed.

What is different for charities

Some callers need help now

People who ring a charity may be in distress, especially outside office hours. Samaritans says its 116 123 line is free from landlines and mobiles and open 24 hours a day. A single sentence can point callers there.

Supporters expect a personal tone

Donors and volunteers give their time and money. Thank them in the greeting, and keep menus short so it never feels like a call centre.

From the studio

01

Warm and sincere

Choose a warm voice and gentle piano. Avoid upbeat corporate music.

02

Read helpline numbers in groups

Write “one one six, one two three” so the voice pauses in the right place.
