Voicemail Greetings for Insurance Agencies

When a client calls an insurance agency after an accident, the greeting must point them to the claims line right away. And it should say clearly that coverage cannot be bound or changed by voicemail.

What matters for insurance agencies

01

Claims go to the carrier

Most carriers run their own claims line around the clock. Tell clients to call the number on their insurance card, and offer your callback for help with the claim.

02

No coverage by voicemail

A message saying “add my new car” does not add coverage. Many agencies say this in the greeting, so clients don’t assume they are covered.

03

Seasonal peaks

Open enrollment periods and renewal dates bring call waves. A seasonal greeting with your hours and the documents to have ready keeps the line moving.

04

Quote requests need basics

For a quote, ask for the type of insurance, the zip code and the best time to call. Your producer can prepare before the callback.

Questions

Why say that coverage can’t be changed by voicemail?

Because clients sometimes assume a message is enough. A clear sentence avoids a gap in coverage and a difficult conversation later. Ask your E&O carrier or compliance advisor for the exact wording you need.

Should we list carrier claims numbers in the greeting?

Only if you represent one or two carriers. With more, point to the number on the insurance card instead.

How often should we update the greeting?

Before every open enrollment period and every office closure. A wrong date in an insurance greeting causes extra calls.
