Company closures

Office closed voicemail greetings

When the whole business is closed, the greeting answers three questions: since when, until when, and what callers should do meanwhile. Here are scripts for planned and short-notice closures.

Scripts for a closed office

Replace the parts in brackets. The first script is also available as finished audio.

What a closure greeting needs

01

The last closed day and the reopening day

“Back on Monday, March 8, at 9 a.m.” is clearer than “closed next week”. Give the weekday and the date.

02

One way to reach you, if there is one

Give an email address or an emergency contact only if someone actually reads or answers it during the closure.

03

When messages get answered

Tell callers that messages are answered after you return. Nobody waits for a call that cannot come.

04

A switch-back reminder

Put the reopening date in your calendar with a reminder to restore the regular greeting. An old closure message makes a business sound closed for good.

Closure, holiday or out of office?

Use this page when the whole business is closed for a reason of its own: a move, a company vacation, renovation, weather. For public holidays, see our holiday greetings and the Thanksgiving greeting. When only one person is away, an out-of-office greeting on their own mailbox fits better.

Questions

When should I switch the greeting on?

When the closure starts, not before. During the last days before a planned closure, use an advance notice in your regular greeting or on hold.

Should callers still leave a message?

Yes, if you will answer after the closure. Say so clearly. If your mailbox might fill up during a long closure, point to email instead.

Can I prepare a closure greeting in advance?

Yes. Create it now, download the file and keep it ready. On the day, you only upload or switch it in your phone system.
