Accounting practices and tax agents

Phone greetings for accountants and tax agents

An accounting practice in Australia has two seasons on the phone: tax time after 30 June and the rest of the year. A good greeting changes with them, and sends BAS and business clients somewhere other than the queue for individual returns.

Thanks for calling Brolga Tax and Accounting. It's tax time, so our lines are busier than usual. To book an appointment for your tax return, press one. For business clients and BAS enquiries, press two. For anything else, please hold, and the next available accountant will take your call.

Two dates that shape your calls

31 October for self-lodgers

Individuals who lodge their own return are generally due by 31 October. The ATO notes that people using a registered tax agent need to engage the agent before that date. Expect a rush of new clients in October, and say on the phone how they can get onto your list.

Later dates through the lodgment program

Clients on a registered agent’s list can have later due dates under the ATO’s lodgment program. Callers often ask whether they are “still in time”. A short on-hold message can tell them to leave their details and that you will confirm their date.

From the studio

01

How to say “BAS”

Some clients spell it out, others say it as a word. Try both in the preview and keep the one your clients use.

02

Two versions a year

Record a tax-time greeting and an off-season one. Switch in early July and again in November.

03

No financial details on voicemail

Ask callers for name, number and the topic. Tax file numbers do not belong on a message.

Questions

Should the greeting give lodgment dates?

Keep dates general on the phone. Due dates depend on each client’s situation, and the ATO publishes them. Your team confirms the date in the call back.

Can I switch greetings automatically in July?

Most business phone systems let you schedule greetings. Otherwise, set a reminder for 1 July and upload the tax-time version that day.
