Phone greetings for estate and letting agents

An agency line has two very different kinds of caller: buyers and sellers who want a viewing or a valuation, and tenants who need something fixed. Split them in the first menu and both get a faster answer.

Sales, lettings, repairs

Thank you for calling Marlow and Finch. For sales and valuations, press one. For lettings, press two. If you're one of our tenants and need to report an urgent repair, press three. Our office is open on weekdays until half past five, and on Saturdays from nine until one.

Viewings

Negotiators out

Our negotiators are out on viewings. Leave the address of the property you're calling about and your number, and the agent handling it will call you back today.

Valuations

Thinking of selling

If you're thinking of selling or letting, leave your postcode and a good time to call, and we'll arrange a free valuation.

Tenants

Out-of-hours repairs

The office is closed. If you're a tenant with an emergency such as a leak or no heating, press one for our out-of-hours repair line. If you can smell gas, call the gas emergency number, 0800 111 999, straight away.

Saturday

Weekend hours

On Saturdays [Agency name] is open until 13:00, and we're closed on Sundays. Leave a message and we'll call you back on Monday from 09:00.

What is different for agents

Tenants need a separate route

Managed lettings bring repair calls at any hour. A dedicated option, and an out-of-hours message that sorts emergencies from routine jobs, keeps those calls away from the sales team.

Saturdays are trading days

Viewings and valuations happen at weekends. Your Saturday greeting is a working greeting with hours, not an out-of-hours message.

From the studio

01

Address first

Agents think in properties. Asking for the property address before the caller’s name gets the message to the right person.

02

Gas safety in tenant greetings

HSE gives 0800 111 999 as the gas emergency freephone number. If it appears in your tenant line, have the voice read it slowly in groups.
