A professional greeting on your work mobile

For many sole traders the mobile is the business line. The greeting lives with your network, not on the handset. The phone only decides how you record it: in an app with Visual Voicemail, or during a call to your voicemail.

Designer out on site

Hi, it's Priya at Larkspur Interiors. I'm with a client or out on site, so I can't pick up just now. Leave your name, your number and a line about your project, and I'll ring you back before six. If it's about an existing order, a quick email is often the fastest way.

Up a ladder

[First name] from [Business name] is up a ladder right now and can't reach the phone. Leave your name, your postcode and what needs doing, and I'll call you back after 17:00.

Field sales

Between appointments

Hello, it's [First name] [Surname] from [Company]. I'm with a customer at the moment. Leave a message, or text me, and I'll get back to you between appointments.

iPhone with Visual Voicemail

Steps from Apple Support (UK). Recording is not supported by every network or in every country.

  1. Open the Phone app

    On your iPhone.

  2. Find the greeting setting

Unified layout: tap Calls, then Edit, then Edit Voicemail Greeting. Classic layout: tap Voicemail, then Greeting.

  3. Record a custom greeting

    Tap Custom, then Record.

Android

In the Google Phone app, Visual Voicemail is switched on under the app’s settings, Voicemail. Google’s help page lists O2 among the networks that offer it and points out that not every operator does. On many Android phones you record the greeting during a call to your voicemail instead; the steps for your network are on our pages for EE, O2, Vodafone and giffgaff.

Using a finished file when you can only record

Download the greeting, play it from a laptop or tablet, and hold the mobile close to the speaker while the voicemail records. The sound is a little softer than a direct upload, but the wording and the voice stay professional.

Questions

Can I upload an MP3 straight to my iPhone voicemail?

Apple’s guide describes recording the greeting, not importing a file. Use the playback method above.

Does the greeting move with me to a new phone?

The greeting is stored by your network, so it normally stays when you change handset. If you change network, record it again.
