How to choose a voicemail greeting service

A greeting service should let you hear your own text before you pay, deliver a file your phone system accepts, and tell you clearly what you may do with the music. These eight questions sort out the rest.

Eight questions to ask any provider

  1. Can I hear my own text first?

A sample voice is not enough. You should hear your script, with your company name and your phone number, before you pay.

  2. Which file do I get?

Ask for the format. MP3 works on most cloud systems; some systems want WAV at 8 kHz or µ-law. Check the vendor’s help page and the provider’s converter options.

  3. Does the voice work on a phone line?

Voices that shine on headphones can blur on a phone. Test the preview on a phone speaker.

  4. What are the music rights?

Read the terms. They should say where you may use the music, for example on your phone system, and for how long.

  5. How is the price built?

Per greeting, per month, per minute? A subscription makes sense only if you change greetings very often.

  6. What does a change cost?

Hours change, staff change, holidays come every year. Find out how quickly and at what price you get a new version.

  7. Is there a person to ask?

When an upload fails, an email address that gets answered is worth more than a long FAQ.

  8. Who is behind the service?

Look for a company name, an address and an imprint. A business you can identify is a business you can hold to its terms.

How we answer these questions

At phonegreetings.ai, you write your text, pick a voice and music, and listen as often as you like for free. A finished greeting costs €19, without a subscription, and comes as an MP3; our free audio converter creates WAV and µ-law files. The music rights are written down in our terms: library tracks in a generated greeting may play on your phone system. Behind the service is BrennerMedien GmbH in Augsburg, Germany, with its own recording studio; see our imprint and about page.

Questions

Should I choose a subscription or pay per greeting?

Count how many greetings you change per year. For a few changes, paying per greeting is usually cheaper. A subscription pays off only with frequent changes on many lines.

Do I need a service at all, or can I record myself?

You can record yourself. A service gives you a clear voice, no background noise, and a file that is ready for your phone system.

What if my phone system rejects the file?

Check the format the vendor names, convert the file, and upload it again. Our phone system guides list the formats from the vendors’ help pages.

Hear your greeting before you pay.
